WTTA Board Meeting

November 4, 2008

Meeting called to order @ 1230pm

October Minutes were approved as posted

 

Old Business:

 

Sandbagging:  The issue is currently being researched and more suggestions are encouraged.  Two approaches brought up are:

            Designation of Line 1 players or possibilities of Line 1 players at start of season.

ALTA process for order of strength lineups.  However, it is extremely complicated and would

               require software application to monitor

 

New Business:

 

Bylaw Amendment

Due to a rule change, the Bylaw wording needs to be changed to be consistent.  Membership requirements in the bylaws need to be changed from “full membership privileges” to “WTTA membership privileges”.  Mia Martin made a motion to amend the bylaws to reflect the change in the rules.  Jana Wash seconded and all were in favor.

 

Rain Rescheduling

Flight coordinators should be more vigilant in monitoring dates set for rescheduled matches.  Some dates are falling outside the three week window.  Susan Cippele will see if Meg can have the system send an alert to flight coordinators when a match has been scheduled outside the three week window.  Also, Susan Cippele will write a match reschedule procedure for Flight Coordinators to review and then implement for the Spring season.  This will involve Flight Coordinators monitoring that reschedules are posted within 72 hours, and that the dates shown are consistent with our Rules.

 

Roster Finalization

Discussion took place as to whether WTTA should allow roster changes after the Placement meeting.  It was decided that WTTA will stay firm on no roster changes after the placement meeting.  There should be no exceptions.

 

Season To Date

Formal complaint handled by the Admin Committee was reviewed for the Board.  It was decided that confusion from the etiquette sheet may have added to the situation.  This sheet will be reworked for Spring to deal with only sportsmanship/etiquette issues and not Rules. 

 

Coaching at any time other than the break between second and third sets or during a suspended match is a Code Violation.  In unofficiated matches, code violation penalties proceed as follows:  warning, point, game, match.

 

Illegal Player:  There was an illegal player added at midseason.  Captains and Reps should be aware that midseason replacements must be new to WTTA or come from the sublist at or below the flight where the player is being added.

 

Default prior to the Match:  A situation was discussed where a team had called the opponents the day before the match to say there would be a default.  Later that evening, they called back saying they had actually been able to get a player to play the line.  The opposing captain had already released her line four players.  In this case the captain was able to find players and play the line.  However, it was agreed that once a default is given, it only becomes void if the match is rained out.  Captains should be positive they cannot play a line before issuing a default.

 

It is each home team’s responsibility to insure that there are no court conflicts at their club.  In the event of a conflict, it is the home team’s responsibility to secure acceptable alternate courts, and notify the opponents of the change in playing site at least a week in advance.

 

There was an explanation of the Admin Committee’s ruling on a Senior team’s default of two lines.  Due to extenuating circumstances the team was granted a variance and not removed from the season.  Teams are cautioned, however, that they put themselves in jeopardy when they default a line in advance, as a last minute additional problem could cause a second line to default.

 

Vicki Jones distributed the current Treasurer’s report.

 

Announcements:

 

Susan suggested that the December board meeting could be a social meeting with awards distributed to the clubs, but no official business to take place.  All were in favor.  Susan will inform Board members of the details.
